How to classify your contacts in the OMS

With the latest OMS update we’ve included the lead source column in your contacts view. Let’s quickly recap on how you can classify your contacts in the OMS.   On your contacts view you can filter contacts by category (on the left in the screenshot below). If you edit a contact, you can link them to multiple categories, which makes it really flexible to group contacts the way you want. You can also switch between personal and office contacts. Office contacts are shared with the office and everyone can see them. You can choose if you want to share a contact with the office or keep them private.   You can setup any category structure on your own personal profile, e.g. hot leads, cold leads, approved suppliers – this is up to you. Here we’ve setup a structure for bond application statuses:   Opening a contact you will see which categories this contact is linked to. Below we can see Hot Leads and My Buyers . You can click on the categories tab to change this....

Manage companies in the OMS

You can now access a company section in the OMS under Contacts / View Companies. Here you can capture companies like bond originators, attorneys and suppliers for your office. You can manage your own list of companies, share with the office or your group of offices depending on your OMS access level. This allows groups to for instance set up a list of shared attorney contacts that everyone can access and use. Companies (including banks, attorneys, bond originators and external agencies) will be used in the new sales tracking functionality.

All the leads from all the leading property portals in one place

We’ve made it super easy to list your properties once and export it automatically to all the leading property portals. Now we’ve developed innovative new functionality that will allow you to import all those leads back into the OMS. Automatic. No manual capturing. The new feature will allow you to import your leads from IOL Property, Property24, Private Property, Property Genie, ImmoAfrica to complement the leads already imported from MyProperty and your own website. The service is live and we will post instructions to this BETA service within the next 24 hrs next to your OMS inbox. Leads are imported on average within 5 minutes. You will have the option of manually importing leads or use an automatic option that is easy to configure. More portals will be added over time. Configure & track your own lead sources in the OMS

You can now configure your own lead sources for contacts in the OMS. Users will be able to pick the configured lead source types from a dropdown on contacts as shown below: To configure your own set of lead source types, simply go to Setup / Sales Settings / Lead Sources and follow the instructions (as office administrator). You can even create sub categories as indicated below: For groups of offices , a setting is available to configure lead source types for all your offices (enabled by default). Improved new contact view

An improved contacts view is now available in the OMS. It features a more user friendly layout to allow you to manage your contacts easier. When you open a contact you will be presented with key contact details and birth date (if entered) Linked properties and referrals are displayed on the right for quick reference (e.g. where a contact is listed as a buyer, seller, tenant or other contact on a property). The notes have been improved and it is now easier to quickly add, edit or remove a note. This allows you to easily maintain a complete history on a contact. You can specify future dates on notes which will be highlighted in red in the view.  All contact personal details including address is available in the personal details tab, while personal and office categories can be selected in the categories tab. New property wall type, contacts filter correction and contacts audit trail entries

Wall type A new wall type: “clinker brick” has been added to the OMS property capture/edit. A problem was also corrected where duplicate entries was shown on the wall type, facing and roof type in some user’s browsers. Contacts filter On the ‘view contacts’ page the filter is no longer case sensitive: New Audit Trail entries The OMS will now record contact added and deleted actions from users including the name of the contact that was added or deleted. Further updates following in the next few days will also record where contacts have been updated by users.

The results are fetched from the database and displayed to you very quickly and is sorted in the most recent listings or contacts first. OMS: universal search enhancements, now also search contacts

We’ve enhanced the new universal search with new features. You can now search property or contact records.  By adding contacts to the search you are now able to quickly find contacts without having to go to the contacts module first. PROPERTIES Search property reference number, loan account number, street name or complex name. This searches all your property listings and also office listings if you have rights. It will search all property statuses including for sale, rentals, auction, expired and inactive. CONTACTS Search first name, last name, email address, mobile number, home number or office number. This searches all your contacts including buyers, sellers, referrals etc. It will also search all office contacts if you have rights. It will also search all property transactions where you were linked as an agent e.g. if you were the listing agent on a home that was since sold, you can search on the seller name at that time, and it will find the person. OMS update: add existing contacts to property mandates

We’ve improved & activated the ability to add new or existing contacts on property mandates. From the property mandate screen, you can add a new contact. The system then automatically checks for any duplicates using a number of criteria including first & last name, mobile number and email address. It will warn you if a duplicate is found (A). A list of duplicates will be shown with the option to open the contact in a new window or link it to your property that you have opened (B). When an existing contact is linked to a property you will of course see it as a linked property under that contact. The system caters for linking contacts to multiple properties thus having a global and single view of a contact. This way you can keep track of any previous mandates for your contacts.

OMS: New, checking for duplicate contacts

We’ve enabled a new feature in the OMS contacts that automatically checks for existing duplicate contacts when you add a new contact. It will check the email address and mobile number fields, if a duplicate is found you won’t  be able to add a new contact. It will also check the First and Last Names and warn you of duplicates with the option to add a duplicate name if it is a coincidence. A) Message informing you that a duplicate was found B) Override adding a duplicate contact name where the first and last names are duplicates.

OMS contacts calendar issue corrected

Some user experienced an issue where they couldn’t save the birth date on a contact (through either the contacts, property or referral modules). The problem was corrected over the weekend.

OMS improved contacts editing

We’ve improved the contacts screen with improved screen layout and new functionality. Here is the new layout: 1) contact details: all the key contact details of person including ‘active’ checkbox to enable/disable a contact from the contacts module view 2) personal details: more personal details from the contact that you won’t use on a regular basis. You can view it by pressing the expand icon (7) 3) categories & sharing: select which categories this contact belongs to. We’ve made it a bit easier to understand, by moving the ‘is shared with office’ checkbox here. Once you click the checkbox the office categories will appear. 4) notes: you can now capture multiple notes per contact. You can also add a date, which is great if you want to do some sort of activity tracking on a contact. 5) linked properties: you can now see the properties linked to this contact. OMS Improved contacts add: new wizard

We’ve improved the capturing process of new contacts in the OMS. The capturing screens or now easer to read and available functionality have been improved. Step 1 – selecting your contact type. This is essentially the same as before. Step 2 – enter contact details. We re-arranged the fields to make it easier to capture. Step 3 – You can now enter multiple notes with dates on contacts. This is a great feature since there is no limit on the number of notes you can add. You can for instance use this to track progress on a contact (by entering the details and the date of activity). Future dates can also be selected which will become useful in future updates we are planning (global calendar). Step 4 – Enter categories. Choose the categories you want to link this contact to. By default the ‘office categories’ is unselected, when you select it, the office categories will be shown. Personal and Office categories can be set up in the contacts module.

OMS - Referral contacts now linked to contacts module

[note: this feature is only available to enterprise clients] This new feature gives you quick access to your referral contacts captured or received (where you have accepted). When you capture a new buyer or seller referral in the Referrals Module, the contact details will be linked to a new ‘referrals’ auto-generated category in the contacts module. The referral contact is automatically linked to the sending user’s referral contacts. Once you accept a referral, the referral contact will also show in the accepting user’s referral contact list in the contacts module.   Office Administrators/Managers have access to all referral contacts through the ‘office’ category. Referral contacts cannot be deleted from here, since they are linked to referrals.

OMS contacts correction

We’ve corrected a problem where some clients didn’t see the categories when adding new contacts through the contacts module. Categories allow you to group your contacts the way you want, click here for an instructional video in setting up your own categories in the contacts module . Did you know? All contacts loaded on your listings are automatically available through the contacts module.

OMS properties linked to contacts

We’ve added a helpful new feature on the contacts module. When you open up any contact you will now see a ‘property’ tab. The property tab will list all the properties linked to a contact.  It will show the property reference number and address. Click on the link and it will open the particular property in a new window. If the contact is linked to more than one property, it will list all the properties here. Ideally, if you work with the same client again in the future you will see previous sales/mandates associated with the client.

We’ve sorted out a few bugs on the contacts module including the Categories . When you click on the configure button and create your categories as per sample screenshot below, the changes you’ve made will be visible immediately.

OMS contacts module enhancements – view all contacts as administrator/manager

We’ve made enhancements to the OMS contacts module. This is the first of several enhancements to follow in the contacts module. For users who have office administrator or office manager access, you can now view all the contacts captured on property listings by going to the contacts module, and clicking on (A) shared contacts, and then on (B) general, buyers, sellers or tenants.  Note that only office administrators and managers have this access to view contacts listed by all users on all properties, standard users will only see there own contacts and contacts shared by other users.   The ‘active contacts’ (C) is an existing option and allows you to filter only active contacts. Unchecking this will show all your inactive contacts. When you open a contact, you can mark it as ‘active’ or not. The ‘is shared with office’ function allows standard users to share that contact with the office shared contacts list. Note that we have reports from some users that the ‘config...
